Booster Club Positions

Booster club positions can vary slightly from club to club, but the majority of successful clubs will have the following booster club positions, each having its own roles and responsibilities, and often collaborating with other positions and volunteers:

Executive Board

President: The President shall be the principal executive officer of the Club and, subject to the control of the Executive Board shall in general supervise and control all of the activities of the Club. The President shall be a member of the Executive Board and, when present, shall prepare meeting agendas and preside at all meetings of the Executive Board and all meetings of the membership. The President shall vote only in the case of a tie in a vote of the Executive Board or the membership. The President shall select and appoint the chairpersons of all Standing and Special Committees and shall be an ex-officio member of all committees of the Club.

Vice President: The Vice President shall be a member of the Executive Board and, in the absence of the President, shall perform the duties of the President. The Vice-President shall perform such other duties as are assigned by the President or the Executive Board.

Secretary: The Secretary shall be a member of the Executive Board. The Secretary shall keep the minutes of the proceedings of the membership and the Executive Board, shall see that all notices are duly given in accordance with these Bylaws, shall be responsible for the publishing of meeting minutes, shall manage and keep an accurate tally of the volunteer records, shall regularly monitor the Club's postal mail and email accounts, and, in general, perform all duties incident to the office of Secretary and such other duties as may be assigned by the President or the Executive Board.

Treasurer: The Treasurer shall be a member of the Executive Board. The Treasurer is the authorized custodian to have oversight of all funds of the Club in accordance with the Club's financial policies. The Treasurer will organize, document, and record all financial activities. The Treasurer will be diligent and conscientious in ensuring all funds are received and spent in accordance with the Club's tax-exempt purpose, bylaws and budget. The financial records belong to the Club and must be available to all officers and members upon request.

Committee Coordinators

Membership Coordinator: The Membership Coordinator designs and presents profitable membership plans to the club for approval; makes those plans available via the club's website; sources and orders all membership benefits; coordinates delivery of member benefits to each member; makes an accurate database of all member data accessible to the club leadership team.

Sponsorship Coordinator: The Sponsorship Coordinator designs and presents profitable sponsorship plans to the club for approval; makes those plans available via the club's website; sources and orders all sponsorship benefits; coordinates delivery of sponsor benefits to each sponsor; makes an accurate database of all sponsor data accessible to the club leadership team.

Spirit Wear / Shop Coordinator: The Spirit Wear / Shop Coordinator sources spirit wear; orders spirit wear; maintains an accurate inventory of spirit wear; manages store staff; makes spirit wear available for purchase online; makes an accurate database of all spirit wear sales data accessible to the club leadership team.

Concessions Coordinator: The Concessions Coordinator sources concessions; orders concessions; maintains an accurate inventory of concessions; manages concessions staff; makes an accurate database of all concessions sales data accessible to the club leadership team.

Per-Fundraiser Coordinator (one for 5K, one for auction, one for golf tournament, etc): It is wise to have a coordinator for each fundraiser your booster club conducts. The coordinator will manage and be the point person for all things related to the fundraiser (scheduling, obtaining permits, reserving venues, creating a theme, finding sponsors, collaborating with the Support Team, planning the fundraiser, managing volunteers, etc).

Scholarship Coordinator: The Scholarship Coordinator publicizes available scholarships by coordinating with the school's student services department; collects applications during the application window; recruits volunteers to review applications; ensures an unbiased, impartial review and selection process; shares the names of scholarship recipients with the Executive Board; attends any award ceremony hosted by the school and presents scholarships to recipients.

Support Team

Volunteer Manager: The Volunteer Manager publicizes volunteer opportunities; builds relationships with new volunteers; thanks volunteers after events for their service; fosters parent involvement; records contact information of interested volunteers; gathers volunteer needs from coordinators; connects interested volunteers with volunteer opportunities via one-to-one communication; requests volunteers and donations from the community via school‑wide email blasts; manages online sign up forms; reminds volunteers of their commitment as due dates approach.

Website Manager: The Website Manager manages content on the club's website. They ensure the website contains timely, accurate information about events, news, and the organization.

Social Media Manager: The Social Media Manager regularly posts club news on Facebook, Instagram, YouTube, Threads, TikTok, etc.

Publicity Manager: The Publicity Manager maintains the club's brand; designs visual communications (posters, social media content, etc); composes email blasts sent to parents, staff, and/or students to publicize events or recruit volunteers; composes and publishes a regular club newsletter; assists with writing or proofreading the website, etc.

Photographer: The Photographer records events, fundraisers, meetings, and other club activities. Photos can be used on the website, on social media, and other communication tools.

Videographer: The Videographer records and edits videos of club events & fundraisers. Videos can be a great communication tool on social media.

Non-Voting Ex-Officio Members

The Principal, Athletic Director, and/or Coaches can be non-voting, ex-officio members of your club. This means they are able to provide guidance to the club, foster open and friendly communication between the booster club and the entity the club supports, develop a strong bond between the organizations, but are not able to vote on any club matters.
